VoIP Onboarding Checklist for New Call Center Groups

Updated · July 31, 2026

A step-by-step VoIP onboarding checklist for new call center groups—numbers, routing, CRM, agent training, and go-live QA before your first outbound shift.

Confirm scope, roles, and account setup

Before you dial, define team size, shift hours, inbound vs outbound mix, and which markets you will call. Assign an operations lead, a technical admin, and a QA owner so decisions do not stall mid-setup.

Create your PapaM VoIP account at papamvoip.co/register. Complete the $100 setup step and fund voice balance using USDT (TRC-20). Confirm English, Turkish, or Russian panel language for supervisors and agents.

Provision numbers and build routing rules

Order or port DIDs for each campaign and region. Map caller ID per desk so agents present the correct local number on outbound calls.

Configure IVR menus, queue priorities, overflow rules, and after-hours handling. Document which queue each campaign uses and who receives missed-call alerts.

Connect CRM, WebTrader, and call workflows

From the unified panel, link VoIP with CRM and WebTrader so screen pops, lead status, and disposition codes stay in sync. Define mandatory fields agents must save before ending a call.

Build call scripts, dispositions, and callback tasks inside CRM. Test that a completed call updates the lead record and triggers the next action for supervisors.

Configure agents, dialer, and voice cost controls

Create agent extensions, assign queues, and set recording policy per group. Enable click-to-call or predictive/preview dialer modes based on campaign type.

Set spend alerts against voice usage at roughly $0.35/min so supervisors can catch runaway campaigns early. Run a 30-minute pilot with 3–5 agents before full floor launch.

Run security, VPN, and pre-go-live QA

Issue VPN access from the same panel for remote agents and lock admin URLs to approved IPs where possible. Verify TLS/SRTP settings and restrict shared login credentials.

Complete this QA pass: test inbound and outbound audio, hold/transfer/conference, voicemail, CRM pop, and WebTrader login from an agent workstation. Log and fix every failed step before go-live.

Go-live day checklist and first-shift monitoring

On launch day, confirm balances, active routes, live agent count, and supervisor dashboards. Brief the floor on escalation paths for dead air, one-way audio, or CRM sync errors.

Monitor ASA, abandon rate, and average handle time in the first 2 hours. Keep a rollback plan: pause dialer, re-route to backup queue, or switch caller ID if a trunk underperforms.

When your checklist is green, scale seats and campaigns from papamvoip.co/register. Use one panel for VoIP, CRM, WebTrader, and VPN so new groups onboard with the same playbook.
